Data Security

How your records are handled.

Effective October 26, 2026 · utilitybillrecovery.com

Cultivation operators have good reason to be careful about who sees their facility data. This is how we handle what you send us — and how little of it we ask for in the first place.

We ask for as little as possible, as late as possible

The first conversation covers your facility, utility, scale, issue and timing. That's enough for us to say whether a review is worth doing. Bills, interval data, project files and operating records are only requested once there's a specific reason to look at them — and then only the ones that matter to the question.

Don't upload sensitive records to this website

Our web forms are for contact details and a description of your situation. They are not a document portal. If we need records, we'll agree a secure transfer method with you directly. Please don't attach cultivation records, licences or account documents to a web enquiry.

Handling

AccessRestricted to the people working on your matter. Not shared internally for curiosity, marketing or training.
TransmissionThe site runs over HTTPS. Record exchange happens over an agreed secure channel, not plain email attachments where it can be avoided.
StorageAccess-controlled storage with authentication required. Records are kept separated by client.
Third partiesOnly where a filing requires it, or where a provider runs our email, hosting or storage under confidentiality obligations. Never for advertising, and never sold.
DisposalDeleted at the end of the retention period described in our privacy policy, or earlier on your request where we're not required to keep them.

What we don't do

Honest limits

No system is completely secure, and anyone who tells you otherwise is selling something. What we can commit to is collecting less, restricting who can see it, and deleting it when it's no longer needed. If a breach ever affected your information, we would tell you — promptly and specifically, not buried in a notice.

Reporting a concern

If you believe your information has been mishandled, or you've found a vulnerability in this site, email support@utilitybillrecovery.com and we'll respond. Please don't test for vulnerabilities in a way that affects other users.
