Privacy Policy
What we collect, and what we never do with it.
Effective October 26, 2026 · utilitybillrecovery.com
Utility Bill Recovery reviews utility accounts for cannabis cultivation operations. Doing that means handling your bills and facility details. This explains what we take, why, and who else sees it — which, in almost every case, is nobody.
What we collect
Set out by category, with the retention period for each. Nothing is collected that isn’t listed here.
| Category | What it is | Kept for |
|---|---|---|
| Contact details | Your name, company, email address and phone number, submitted through the enquiry form or given to us directly. | 2 years from last contact, or the life of the engagement |
| Facility information | Facility type (indoor, greenhouse, mixed-light, multi-site), number of facilities, general location, approximate monthly utility spend, and which services you’re interested in. | Same as contact details |
| What you write | The description of your situation in the message field, and any later correspondence. | Same as contact details |
| Account records (only once engaged) | Utility bills, account and meter numbers, interval data, rate schedules, utility notices and correspondence, equipment and project documentation. | Engagement, plus the period in which a claim or credit can still be revisited |
| Operating details (only once engaged) | Room schedules, photoperiod, lighting and climate configuration, irrigation and water handling — the operational context needed to explain a bill. | Same as account records |
| Technical and anti-spam | IP address, browser type, pages visited and timestamps in server logs; the page a form was submitted from; and a hidden timing value used to detect bots. | Server logs rotate on the host’s schedule; form metadata is kept with the enquiry |
| Analytics | Aggregate page-level usage, if you accept analytics cookies. Not linked to your enquiry. | Per the analytics provider’s retention setting |
What we never collect on this website: payment card or bank account details, government identification numbers, cultivation licence numbers, or anything about individual employees. The site takes no payments. We also don’t track you across other websites.
We do not ask for sensitive cultivation records in a first conversation. The initial screening covers your facility, utility, scale, issue and timing. Detailed records come later, only once there’s a reason for them — and only the ones that bear on the question we’re answering.
Why we have it
- To tell you whether your account is worth reviewing
- To reconstruct account history and test rate, billing and meter treatment
- To prepare and pursue claims, rate changes, incentive applications and water or sewer corrections
- To contact you about your own matter
- To meet our legal, tax and recordkeeping obligations
Who we share it with
Four categories, and nothing beyond them:
- Your utility or program administrator, where filing a claim, rate request or incentive application requires it — and only what that filing requires.
- Service providers who run our email, hosting and document storage, bound to confidentiality and permitted to use your data only to provide that service.
- Professional advisors, where a matter needs legal or accounting input, with your knowledge.
- Authorities, where the law requires it.
We do not sell your data, rent it, trade it, or share it for anyone else's advertising. We do not share your identity or facility details with equipment vendors, and we do not take commissions from them — we have no product to sell you on the back of our own findings.
Confidentiality
Client identity and account records are treated as confidential. Where we publish results, figures are rounded and the client is not identifiable. If you'd rather we didn't reference your matter even anonymously, tell us and we won't.
How long we keep it
For active matters, as long as the matter runs plus the period in which a claim, credit or program decision can still be revisited — recovery and dispute windows can extend years past a bill. For enquiries that don't become engagements, two years, then deletion. You can ask us to delete your information sooner and we will, except where we're required to retain it.
Your rights
If you're a California resident, the CCPA gives you the right to know what personal information we hold, to request its deletion, to request a copy, and not to be discriminated against for exercising those rights. Since we don't sell personal information, there's nothing to opt out of — but you can still ask. Email support@utilitybillrecovery.com and we'll respond within 45 days.
Most of what we hold is business information about a company rather than personal information about an individual, but the same process applies either way.
Cookies and analytics
The site sets cookies necessary for it to function, and uses Google Analytics to understand which pages get read. Analytics data is aggregated at page level and is not linked to your enquiry or used to build a profile of you. You can block or delete cookies in your browser and the site will still work. We do not run advertising or retargeting trackers, and we do not track you across other websites.
Do Not Track signals
Some browsers can send a “Do Not Track” signal. There is no common industry standard for how a site should respond to one, so, like most websites, we do not currently respond to Do Not Track signals. We are telling you this because California law requires us to disclose it. It makes no practical difference here, because we do not track you across other sites in the first place.
Calls and texts
If you give us a phone number and tick the consent box, you are agreeing that we may call or text that number about your enquiry, including by automated means. Message and data rates may apply. Consent is not a condition of any purchase, you can withdraw it at any time by telling us, and you can reply STOP to any text to stop them. We do not use your number for marketing unrelated to your enquiry, and we do not pass it to anyone else.
Security
See our data security page for how records are handled, stored and destroyed.
Changes
If this policy changes materially, we'll update the effective date above and, for active clients, say so directly rather than leaving you to notice.
